IT System Relocation Moving Guide
Like any other major change that occurs to your business, shifting your office to a new facility requires careful planning. In addition to making sure your office furniture arrives in one piece and new carpets have been laid, you will need to pay close attention to the relocation of your IT Systems.
Due to the complexity and business-critical nature of IT Systems, it is important to plan the relocation of your IT Systems well in advance of the move to ensure that business operations are not affected during the move and your business can resume quickly back to full operation in the new office.
To help plan a smooth IT Relocation, here are some tasks that need to be carried out at key stages of your office relocation planning:
In advance of the move
Identify what IT Equipment you are taking with you
An office move is an ideal time to review your IT systems and requirements for the new office. Perhaps you are expanding or even downsizing, in which case a review of what you are going to need will be essential to ensure you operate efficiently.
New Office IT Set up
Draw up a scale plan of where your IT Systems are going to be located, then plan your cables and IT infrastructure around that plan. Identify where phones are going to be located and ensure you have enough phone points (and that they're in their correct location).
Anticipate Future Growth
Think about how your business is anticipated to grow over the course of your tenancy. Now is the time to get adequate cabling, power and phone points installed - rather than once your furniture and staff have moved in.
Check out Electrics
Have an electrician contractor check out the electrics in the new office so they are adequate for your IT needs and meet health and safety requirements.
Inform your ISP & Telecom Provider
Make sure your IT support companies know when and where you are moving to, and that you have their full support with the transfer of services to the new offices.
Hire an IT Relocation Company
An IT Relocation Company will not only make sure your IT systems are transferred and working correctly in the new office, they will also advise on new IT Systems and business phones upgrades to ensure you have the best technology solutions, and that you are on the right tariff to keep costs as low as possible.
During the Move
Expect the Worst
Always plan for the worst case scenario when moving IT Systems. Back up your data and plan a contingency of how you intend to continue business operations if you encounter delays or disasters during the move. Where are your staff going to work from? What IT Systems will they need to continue working? Emergency contact numbers etc.
IT Test Plan
Have a thorough IT Test plan that is able to test all your IT Systems in the new facility. Issues to consider are incoming/outgoing emails, servers, internet access, CRM systems.
After the Move
New Address Announcement
Inform clients of your new contact details, and ensure your website and stationery is up to date with your new address etc.
