Companies moving office are often so busy getting the logistical aspects of their office move right, that they fail to look after the welfare of their staff. Remember the old saying "your people are your greatest asset"?
This article provides information on how to effectively manage your staff throughout an office relocation and offers an easy-to-use HR Office Move Checklist of what tasks need to be carried out in order to keep your workforce happy, motivated and productive throughout the office relocation process.
1. Get Up To Speed
HR Managers need to be fully in the loop of all office relocation plans, objectives and new office requirements. If you're a HR Manager and have not been put on your internal Office Move Team, opt yourself a place right now!
2. Why Is Your Company Moving Office?
Make sure you know how to answer this question, and ensure you focus on the positives. Staff will need to understand the reasons behind the office move and exactly how it is going to effect them.
3. Keeping Focused
Moving to a new environment is going to be unsettling for staff, but it can also be an exciting time too. They'll be a mixture of anxiety and excitement amongst your staff. But remember that at the same time your company is relocating, your staff have to continue to fulfill their tasks and meet targets so ensure distractions about the office move are kept to a minimum.
4. Communication
As HR Manager, you'll be expected to be the main point of contact for your staff. Decide how you are going to update and communicate with your staff. Much of this will depend on the size of your business, but face to face meetings with individuals or teams are always advisable, so that staff have opportunity to voice any concerns or ask questions.
5. Training Needs
Will the new office have new IT equipment? New Business Phones or even new office furniture? If so, your staff may require training which should be carried out before your company moves to the new office.
6. Office Move Day
Distribute directions and local area maps of how to get to the new office, and key/entrance cards. Make sure they all know what is expected of them on office move day; where they need to be and what time and that they expect some level of disruption when they get to the new office.
7. Dispelling Negativity
It's common for staff to get gossip about the office relocation and negative vibes can soon get out of control. If you keep them regularly updated and put right any misinformation straight away, negative vibes will soon turn into positive ones; giving your office move a greater chance of a happy and successful outcome.
